KCS Maintenance Employee of the Quarter

PURPOSE


The purpose of the Staff Recognition Program is to recognize quality service and excellence wherever it occurs within the Maintenance Department. The recognition program is to encourage employee excellence as well as to improve customer service.

GUIDING PRINCIPLES OF THE EMPLOYEE RECOGNITION PROGRAM


QUALITY
Comes first. To achieve customer satisfaction, the quality of our service and processes must be our number one priority.

CUSTOMERS
Are the focus of everything we do. Our work must be done with our customers in mind. They are our most cherished assets.

CONTINUOUS IMPROVEMENT
Is essential to our success. We must strive for excellence in our products and service.

EMPLOYEE INVOLVEMENT
Is our way of life. We must treat each other with trust and respect. Employees are the source of our strength. Employees provide our reputation and vitality.

INTEGRITY
Is never compromised. The conduct of our department must be pursued in a manner that is socially responsible and that commands respect for its integrity and for its positive contributions. Our doors are open to all individuals without discrimination.

OUR SERVICE
Is the end result of our efforts. As our services are viewed, so are we viewed.

EMPLOYEE OF THE QUARTER

Employees whose work is exemplary deserve recognition. Once per quarter, one employee will be selected for the “Employee of the Quarter” award. The selection committee will evaluate the various nominations and then vote on the nominations.

To be considered for employee of the quarter, employees must exhibit behaviors as shown below. Nominees need not necessarily exhibit every behavior shown below. However, some of the criteria are crucial (such as a lack of disciplinary actions). Nominees will likely exhibit several of the criteria.

Nominees need to:

1.Not have any active disciplinary actions during the nomination year. Examples include: Reprimands, Letters of Concern, Suspension, et cetera

2 Have a positive attitude toward work responsibilities, coworkers and customers.

Examples include: Being cordial with coworkers, school personnel. Not prone to negative statements about coworkers, staff or job.

3. Be productive and exhibit commitment to quality in carrying out job responsibilities beyond his or her regular job assignments.

            Examples include:        Promptness in getting to job sites.
                                                Working diligently on assigned tasks
                                                Providing quality work
                                    Going beyond the normal in providing service to customers
                                    Using “idle” time wisely.

4. Be consistently punctual in reporting to work.

5. Be consistent in regular attendance at work.

6. Contribute to a safe, orderly working environment.

            Examples:        Adherence to stated safety procedures.
                                    Keeping work areas neat and clean.
                                    Cleaning up after self.

7.  Engage in effective internal and external communications in order to relay information.

            Examples:        Using Maintenance and Contractor Sign in Sheets.
                                    Communicating with principals and school staff about work orders.
                                    Communicating with supervisor to relay the status of jobs.
                                    Communicating with coworkers to explain needs.

8. Complete job assignments in a timely manner.

            Examples:        Taking an appropriate amount of time to accomplish tasks.
                                    Not stretching jobs out to occupy time.

9. Engage in extraordinary measures to protect life or property.

            Examples:        Performing first aide on someone to prevent their death.
                                    Putting out a fire before it spreads.     
                                   

Note that examples are not all-inclusive but are simply representative of characteristics for that criterion.

NOMINATION PROCEDURES AND RULES

 

1. Nominations will be accepted from foremen, leadmen, coworkers and staff members from the schools.

2.  Self nominations will not be accepted.

3.  Nominations must be on the “Employee of the Quarter” form.

4.   Due to verification requirements, nominations will not be considered without the name of the person submitting the nomination.

5. Nominations with supporting documentation that can be objectively verified will be weighed heavier than those nominations with only subjective documentation.

6.  Timetable:


NOMINATIONS RECEIVED UNTIL THE LAST DAY OF

AWARD ANNOUNCED IN

June

July           (for April, May, June)

September

October     (for July, August, September)

December

January     (October, November, December)

March

April           (January, February, March)

7. Employees can only receive the award once per school year.

8.  Nominations, not selected in the quarter they are received, will remain eligible for the award through out the fiscal year. At the end of the fiscal year, all nominations will be purged.

9.  Obtain nomination forms from foremen, supervisors and the web page.

10. Nomination forms may be placed in the “Craft Employee of Quarter” box that is located on the first floor of the Maintenance Fifth Avenue Building. Alternatively, nominations from school site personnel may be mailed (interoffice) to Anthony Parker at the Knox County Schools Maintenance & Operations Department office.

11.  The review of nominations and actual selection of the employee of the quarter will be conducted by a team consisting of:

            a.         A representative of the Human Resources Department
            b.         A representative from the Knox County Education Association
            c.         Two representatives from the Craft Representatives Committee.
            d.         The Purchasing Supervisor for Knox County School Maintenance and Operations

            The Craft Representative Committee will elect alternatives in case either of their representatives cannot serve or in case either is nominated.
           
            The selection team will review each nomination in light of:

a. The criteria listed herein (with the understanding that a nomination does not have to exhibit every criteria).

b.  The weight of objective evidence offered by the nominator.

c.  The weight of the other nominations in comparison to the one being reviewed.

REWARDS:

Employees selected as employee of the quarter will receive:

1. A plaque

2.  A reserved parking space

3.  An article in the departmental newsletter

4.  His or her picture posted on the web site

5.  Lunch with the Superintendent

6.   A day off with pay
